GENERAL INFORMATION

Order and Artwork Approval

An order acknowledgement and/or artwork will be e-mailed, faxed or mailed prior to production for approval by the customer or their authorized representative. Upon receipt, please review carefully and contact your sales representative immediately with any discrepancies. Delivery dates and costs may be affected by a delay in your approval. A signed acknowledgment form that we've received via fax, e-mail or mail, constitutes your acceptance of the terms and conditions as stated. Should you decide to email your approval, the receipt of the email by Maxwell Medals & Awards will constitute your acceptance of the artwork and the order.

The individual who approves the order is responsible for payment.

Billing and Payment

A 50% deposit is required, prior to production, on all orders.The balance will be due upon receipt of the invoice. Net 30 day terms will be granted to schools and government agencies with a valid purchase order, and to customers with established credit with Maxwell Medals & Awards. A credit application must be completed to establish credit terms. Finance charges will apply to past due accounts. Once a credit card deposit has been made, the balance will be billed to the credit card upon invoicing, unless other payment arrangements have been made. We accept Visa, MasterCard and Discover Credit Cards. Sales and Use Taxes, if applicable, will be paid by the customer. Specific to some products and due to the nature of our business, we reserve the right to ship and invoice 5% over or under the total quantity ordered.

Shipping

All orders are shipped F.O.B. factory, unless otherwise indicated. All freight and handling charges will be paid by the customer. All orders are shipped via United Parcel Service unless otherwise specified. Drop shipping is available at a charge of $7.50 per location.

Claims

Upon receipt of your order, carefully count and compare with your order acknowledgment form and examine all merchandise. All claims for shortage or defective goods must be reported to our office within 5 business days of receipt of merchandise. All claims for undelivered shipments must be reported to our office within 5 business days of anticipated receipt of merchandise.

Less-Than-Minimum Orders

Orders with less-than-minimum quantities required are available under certain circumstances. For further details, please contact a sales representative. A $25.00 minimum order is required for all shipments except when filling backorders. All orders under $25.00 are subject to a $10.00 charge.

Returned Merchandise

Unless custom products are damaged in shipment or reflect obvious defects in workmanship, they cannot be returned to us under any circumstances. Return authorization for products that can be restocked and sold again will not be granted after 15 business days from the date of receipt of the shipment. If authorization is granted, a minimum restocking charge of 15% will apply. The customer is responsible for shipping charges to and from their location.

Cancellation Charges

Orders cancelled and/or changed, are subject to costs incurred to date.

Pre-Production Samples

Some products are available for pre-production samples. For costs and further details, please contact a sales representative.

Samples Submitted by Customers

Maxwell Medals & Awards cannot guarantee the return or condition of samples to the customer. If requested and if possible, every effort will be made to return customer samples promptly.

Dies and Molds

All dies and molds are produced for the exclusive use of the original customer, but remain solely the property of Maxwell Medals & Awards.

Rush Service

Rush charges and expedited freight may apply on orders requiring less than standard production time. For further details, please discuss with a sales representative.

Pricing

All prices are subject to change without notice.

Productions Time

Delivery times may increase due to items ordered, quantities, and/or manufacturing capacities.

Errors and Omissions

If an error or omission has occurred in pricing, quantity breaks, delivery times or other pertinent information, we reserve the right to correct the same at any time.

Rights to Promotion

Maxwell Medals & Awards reserves the right to use any and all products produced for sale to customers in any advertising, direct mail, collateral materials, tradeshow booth or other marketing vehicles and displays unless otherwise specified in writing by the customer at the time the order is placed. Products displayed in any advertising, marketing, display or promotional vehicle are shown as examples of the type and quality of the products produced.They are not represented for resale, nor are they to be construed as product or brand-name endorsements for the registered mark owners.

Trademarks, Registration Marks, and Copyrights

The customer shall defend, hold harmless and free of all liability, Maxwell Medals & Awards regarding trademark, registration mark or copyright infringements and/or disputes. Maxwell Medals & Awards assumes the customer has permission prior to production to use all registered designs, marks, logos, graphics, and other artwork submitted for the express purpose of reproduction of same into custom medals and/or other awards. The customer agrees to assume any and all responsibility and liability resulting from trademark, registration mark or copyright infringement actions or demands brought against Maxwell Medals & Awards.

Sending Your Artwork

We will accept any art you send — pencil sketch, camera ready art, or electronic file. Or, call us to discuss your idea or concept.

Our designers will prepare your art to meet the specifications of the intended product.

Please consider the following when submitting electronic files:

Line Art or Logos:

  • Resolution of 600 DPI at same size or larger than final reproduction
  • Include any font files that are unique to your art or convert the text to outlines
  • PMS colors may be specified when applicable
  • Vector art is preferred
Use any of the following formats (in order of preference):
  1. Adobe Illustrator (.ai) CS3 or lower
  2. Adobe Acrobat (.pdf)
  3. Adobe Photoshop (.psd, .tif, .eps, .pdf, .jpg)
  4. Corel Draw (.cdr)

Photographic Images:

  • RGB or CMYK color
  • Adobe Photoshop (.psd, .tif, .eps, .pdf, .jpg) CS3 or lower
  • Resolution of 300 DPI at same size or larger than final reproduction

High Resolution Images:

Please submit high resolution images if possible. Try to avoid web page images because they are usually of low resolution for faster loading.

Fonts:

If a specific font is required, please specify the font name(s) and include font files with your submission.

If font files are not included:

  • Convert text to curves or outlines
  • We will use a similar font

Text:

We prefer you submit "Live Text." This is especially true when line changes are required. Please include your font along with the art you submit.

Line Change Information (data files):

When submitting information for text placement and line changes for plates, plaques, and engraving, use the following formats in order of preference:

  1. Microsoft Excel (.xlsx, .xls, [tab or comma delimited].txt)
  2. Microsoft Word (.docx, .doc, .rtf, .txt)
  3. OpenOffice (.sdw, .sdc)
  4. QuarkXPress (.qxd, ASCII Text .txt)
